Cancelling and archiving events

Has someone canceled their event with you?
Rather than just deleting their client record, event, invoice and contract,
eliminating the entire history of your interactions and transactions, we recommend that you do the following.


Step 1) Create a new Event Type called "Cancelled Event" or if you have alot of different event cancellations,
then you might want to be super specific like "Cancelled Wedding", "Cancelled Portrait", etc...

Step 2) Switch the cancelled event to that new Event Type

Step 3) Archive the Event so that it will disappear from your calendar and listing (but not be deleted so that you have records of it)

Step 4) Now Archive the Client, unless you believe that you will have more interactions/events with them moving forward.

Step 5) On the cancelled Invoice, you'll want to add another lineitem to the bottom of the invoice to cancel out the remaining balance.
Add the lineitem as the full remaining balance as a negative number, and then in the description you can just reference that it's due to the Event being cancelled.

Step 6) Switch the Invoice's status to "Cancelled"

Now the Event,Client, and Invoice will be archived and not show up on your calendar and listings, but
you can still get to them anytime you need to reference them in the future.
