How to create and send a proposal to a lead or client

A video and step-by-step guidance

Summary:
To create and send a proposal to a lead or client in Pixifi, start by setting up a proposal template. Populate this template with relevant details such as contracts, packages, add-ons, and payment terms. Once the template is ready, apply it to a specific lead or client, customize if necessary, and then send it via email or SMS.

Step-by-Step Guidance:

Create a Proposal Template
1. Navigate to Templates:
   - Go to the "Templates" section.
   - Select "Proposals".

2. Create or Select a Template:
   - To add a new template, click on "Add New Template".
   - If using an existing template, select it from the list to view and edit.

3. Edit the Proposal Template:
   - Use the "Edit" access point to modify the template with detailed options.
   - A proposal includes a contract, booking page, package selections, add-ons, and an invoice based on payment terms.

4. Include Contract Details:
   - Add a contract by selecting a template.
   - Use variables (e.g., contact names, event date, brand name) to personalize the contract.

5. Assign Staff and Workflow:
   - Assign staff to the proposal.
   - Optionally, assign a workflow (e.g., Wedding Workflow 2023) to automate tasks.

6. Set Package and Add-ons:
   - Define packages and add-ons that clients can choose from.

7. Adjust Visibility and Mechanics:
   - On the left column, set visibility options such as required fields and expiration periods.
   - On the right column, configure layout, tax percentage, and section descriptions.

8. Save the Template:
   - Ensure all settings are correct and save the template.

Send the Proposal to a Lead or Client
1. Select the Lead or Client:
   - Go to the lead or client profile (e.g., Tony Cooper).

2. Create a New Proposal:
   - Navigate to the "Proposals" section in their profile.
   - Click on "Create New Proposal" and select the appropriate template (e.g., Wedding Photography).

3. Customize the Proposal:
   - Make any necessary edits to the proposal to fit the specific needs of the lead or client.
   - Ensure all packages, add-ons, and terms are correctly set.

4. Publish and Send the Proposal:
   - Once the proposal is ready, select "Publish and View" to review it.
   - Click "Publish and Send".

5. Choose the Sending Method:
   - You can send the proposal via email or SMS.
   - Ensure the message includes the proposal URL variable (`_proposal_url_secure`) for the lead or client to access and sign the proposal.

6. Send the Email or SMS:
   - For email, select an email template, modify the subject if needed, and ensure the URL variable is included.
   - For SMS, copy and paste the URL variable into the message.

3Follow Up
1. Monitor Proposal Status:
   - Check the proposal status to see if it has been viewed, accepted, or if further action is required.

2. Reach Out if Necessary:
   - If the client has not responded, follow up with them to ensure they received and understood the proposal.
